Exporting Items to a Spreadsheet

FIX stores items and item information into what is referred to as the "Item Master". Use this feature to export items from it to a spreadsheet. The following example uses Microsoft Excel as the target spreadsheet program.

To complete these instructions you must have:

  • Single User access to FIX with a User Level less than or equal to 10
  • Microsoft Excel
  • Items in a FIX database
  • FSITM.XLS, the Excel Item Master template to which items are exported (Make a copy of this template; Ironwood can email a copy, if requested)
  1. From the menu choose
    Utilities ä Load and Repair Utilities ä Import/Export to Spreadsheet
  2. The Entity Selector window appears. Select the Items Entity Name and click OK.
  3. The Import/Export Items Window appears and is divided into 4 areas:
    1. Application Attributes

    • DDE Application Name: Excel. This is the application to which Item Master information will be exported.
    • DDE: (Dynamic Data Exchange). This is the data connection method used for exporting.
    • Scan Header: The template, FSITM.XLS, should contain field names in the first row. Enable this field in order for the export process to read the headers and match the data to them.
    • Data Starts Row: Enter a number to indicate which row data will begin to get placed in FSITM.XLS. Ironwood recommends start with the number 10.
    • Output Customer to Data1: When enabled, the program exports the customer number to the cell entered in the Customer field that appears to the right of this switch. In this case, R2C2.
  • Export Descriptions1: When enabled, field descriptions are exported to FSITM.XLS.

 

File Attributes

  • Filename: Enter the path and filename for FSITM.XLS. Use the Browse button to locate it, if necessary. Filenames are in 8.3 format, meaning a filename can be no longer than 8 characters, and the extension can be no longer than 3 characters.

Operation

  • Export: Enable Export to transfer item and item information to the template, FSITM.XLS.

 

Status

 

  • When the OK button is pressed, the process prepares to export items to FSITM.XLS. This may take a few minutes depending on the size of the FIX database. The rule of thumb is the larger the database, the longer the export process.
  • Keep an eye on the status section. If any of the fields being exported fail validation2, this is where errors will be displayed.
  1. Press the OK button to begin the export process.
  2. The Item Selector window appears.
  • Select the correct customer for whom you want to export items.
  • Use Search from the menus to select the items to be exported.

Example: Use Search8 All to find all items. Click Ok and the Entries window appears prompting the user to select the Current Record or All Records to export. Make the choice and click Ok.

  1. When the export process ends, the following window shown below appears with the number of records exported. Launch Excel and open FSITM.XLS to view the results.
